Overview of The Ministry to UW-Stout
The Ministry provides a vital and active Christian presence on the UW-Stout campus. We are an ecumenical partnership between Catholic and ELCA Lutheran campus ministries that offers opportunities to engage in activities centered around Christian traditions and values which shape the lives of so many. The Office Manager oversees day-to-day office operations (supporting The Ministry, Inc. Board, StoutCatholic and Lutheran Campus Ministry) and plays a fundamental role in our organization and its success.
Office Manager Job Description
Key Responsibilities
- Provides office support by directing phone calls, greeting guests, managing mail, ordering supplies, and maintaining an organized, clean office environment.
- Prepares checks, bank deposits, and accurately maintains checkbooks.
- Monitors budgets.
- Coordinates payroll and monthly reconciliation with The Ministry bookkeeper.
- Prepares documents for staff and board (i.e. meeting minutes, budgets, flyers).
- Organizes and manages the filing system.
- Maintains confidentiality in recordkeeping and filing.
- Files annual 990 tax form and reports.
- Maintains accurate files for all tax forms.
- Oversees building maintenance, cleaning service, and office equipment.
- Conveys needs to the board for large repairs and schedules contractors for small repairs.
- Coordinates cleaning service.
Qualifications
Minimum / Required
- High school diploma or equivalent
- Strong organizational and administrative skills
- Detail oriented and able to manage multiple priorities simultaneously
- Excellent computer skills including proficiency with Microsoft (Word, Excel), internet, and email
- Aptitude for learning new software and systems
- Strong interpersonal and oral/written communication
- Ability to interact effectively with a diverse group of people
- Ability to work collaboratively with a small team of colleagues
- Ability to occasionally lift boxes weighing up to 40 lbs
- Ability to navigate stairs in a multi-level facility
Preferred / Highly Desired
- College degree or equivalent
- Experience in office or business setting
- Proficiency with Quickbooks Online
- Experience developing internal processes and filing systems
Salary & Benefits
This is a part-time (20 hours per week) hourly position. Starting pay is $18 per hour. Employer FICA, unemployment and worker’s compensation are also provided.
Normal Office Manager’s hours are 8:00 a.m. to 1:00 p.m., Monday through Thursday beginning September 1st and ending after the last day of UW-Stout’s evaluation week in May. In addition, the Office Manager is expected to provide occasional office coverage (typically 5-10 hours per month) during winter, spring, and summer break periods.
During the academic year, time off without pay will be negotiated with the board and other staff. This position utilizes a flexible scheduling model that may allow for occasional unscheduled absences, but no paid sick leave is provided.
