Position Summary:
The Parish and School Administrative Assistant serves as the first point of contact for both the
parish and school office. This individual is responsible for performing a wide variety of
administrative, clerical, and receptionist duties to support the pastor and school faculty. The
administrative assistant plays a key role in ensuring the smooth and professional operation of the
parish and school offices in a manner consistent with the mission and values of the Catholic
Church.
Essential Duties and Responsibilities:
Administrative Support
Answer and direct phone calls and emails in a courteous, professional manner.
Greet and assist visitors to the school/parish office.
Maintain parish and school calendars, scheduling appointments, events, and facility use.
Prepare correspondence, bulletins, newsletters, and other communications etc…
Assist with preparation and distribution of reports, mailings, and documentation.
Maintain filing systems (physical and digital) for records, forms, and communications in
accordance with diocesan guidelines.
Parish-Specific Duties
Coordinate scheduling for Mass intentions and liturgical events.
Maintain the parish database and update contact information for parishioners.
Support parish ministry leaders with administrative needs.
Prepare weekly church bulletin
School-Specific Duties
Provide clerical support to the faculty, and staff.
Assist with student attendance, parent communication, and school forms.
Maintain student records and assist with enrollment or registration processes.
Communicate important school information via email, newsletters, and the website.
Assist with record keeping for the DPI Hot Lunch program.
General Office Duties
Order and manage office supplies.
Maintain cleanliness and organization of office area.
Assist with coordination of volunteers as needed.
Uphold confidentiality and security of sensitive information.
And other items as tasked.
Qualifications:
High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
Strong organizational and time management skills with attention to detail.
Excellent verbal and written communication skills.
Proficiency with Microsoft Office (Word, Excel, Outlook,) and database software.
Ability to multitask and work independently with minimal supervision.
Friendly, welcoming demeanor and professional attitude.
Work Schedule:
Monday-Friday 7:00am-3:00pm
Occasional evening or weekend hours for parish events may be required.
Working Conditions:
Office environment; may require some walking between parish and school buildings.
Must be able to lift up to 20lbs occasionally (e.g., for supplies or mailings).
